JainVoyagers INC • Canada • Booking & Refund Policy • Effective 13 March 2025

1. Scope, acceptance & booking hierarchy

This policy applies to bookings made directly with JainVoyagers Inc and, where JainVoyagers is the supplier/operator, bookings made through online travel agencies, marketplaces, resellers and distribution partners.

By confirming, paying for or using a JainVoyagers service, the lead traveler accepts this Booking & Refund Policy for themselves and, where legally permitted, for all travelers in the reservation.

Your confirmed invoice, itinerary, OTA voucher and supplier-specific rules form part of the booking conditions and may contain stricter cancellation or refund requirements.

Applicable law remains preserved

Nothing in this policy removes consumer or statutory rights that cannot legally be waived, excluded or restricted.

2. Booking confirmation & traveler information

Bookings become binding only when the required payment condition is satisfied and JainVoyagers or the relevant booking platform issues confirmation.

Confirmation

When a booking is confirmed

  • A direct booking is confirmed only after the required deposit/advance is received and written confirmation is issued.
  • An OTA booking is confirmed when the OTA issues a confirmed voucher showing JainVoyagers or an applicable JainVoyagers Group entity as supplier/operator.
  • Until confirmation is issued, quoted prices, rooms, vehicles, tickets, guides and other inventory remain subject to availability.
  • The lead traveler must review names, dates, passenger count, service type, local start time, pickup point and contact details immediately after confirmation.
Accuracy

Incorrect booking information

  • The traveler is responsible for providing correct names, ages, telephone numbers, email addresses and service details.
  • Errors must be reported before travel and only become corrected when JainVoyagers or the OTA confirms the amendment.
  • Costs arising from incorrect guest-provided information may be charged to the traveler.
  • Failure to check the confirmation does not create an automatic refund right.

3. Deposits, balances, pricing & payment deadlines

Payment deadlines are material booking conditions. Failure to pay on time can result in automatic release or cancellation of reserved services.

Advance payment

The required deposit or advance will be stated in the quotation, invoice or booking confirmation. Deposits may become non-refundable once supplier commitments are made.

Balance

Final payment deadline

The remaining balance must be received by the stated deadline. JainVoyagers is not required to hold unpaid inventory beyond that deadline.

Currency

Fees & conversion

Payments are normally processed in the currency stated in the booking. Bank charges, card charges and currency-conversion losses are the traveler’s responsibility unless expressly included.

Strict late-payment rule: If payment is not received by the confirmed deadline, JainVoyagers may cancel or release the affected services without further obligation to preserve the original price or availability. Any supplier penalty already incurred remains payable.

4. Customer cancellations & cancellation charges

Unless a booking-specific or supplier policy is stricter, the following standard direct-booking cancellation charges apply.

30% of the total booking cost is retained/charged, plus any supplier non-refundable amounts where applicable.

59–30 days before departure 60%

60% of the total booking cost is retained/charged, plus any supplier non-refundable amounts where applicable.

Less than 30 days 100%

The booking is fully non-refundable unless mandatory law or a booking-specific written condition requires otherwise.

Cancellation date

When cancellation becomes effective

  • Direct cancellations must be submitted in writing to the designated JainVoyagers contact channel.
  • The cancellation date is the date a valid written cancellation is received and can be identified against the booking.
  • A telephone conversation alone does not cancel a booking unless JainVoyagers subsequently confirms the cancellation in writing.
  • Travelers should retain written evidence of the cancellation request.
Supplier costs

Charges may exceed the standard slab

If a hotel, airline, rail provider, ticket supplier, cruise, activity provider, vehicle supplier or other third party imposes a stricter or non-refundable charge, that amount is deducted in addition to or instead of the standard cancellation slab where the booking terms permit.

Cancellation does not guarantee a refund. Refund eligibility is calculated only after all applicable cancellation and supplier charges are determined.

5. OTA, marketplace & reseller bookings

For third-party bookings, the booking platform’s cancellation deadline and system status are important evidence of whether a valid cancellation occurred.

Free-cancellation deadline

Cancellation must be completed on time

  • If the OTA offers free cancellation, the cancellation must be completed before the exact deadline displayed in the confirmed booking.
  • Merely sending a message, email or chat request does not count as a completed cancellation unless the platform or JainVoyagers confirms that the booking was cancelled in time.
  • Once the OTA deadline has passed, JainVoyagers is not required to override the platform’s non-refundable status.
  • The OTA’s timestamp, booking status and voucher terms may be relied upon when deciding refund eligibility.
Refund control

The OTA may process the money

  • Where the OTA collected payment, any approved refund may be returned through the OTA rather than directly by JainVoyagers.
  • JainVoyagers may communicate eligibility or authorization to the OTA, but the platform may control the final payment method and banking timeline.
  • Platform service charges, currency conversion and other third-party fees may remain non-refundable under the OTA’s own terms.
  • Booking through an OTA means accepting both the OTA conditions and applicable JainVoyagers service conditions.

6. No-shows, missed departures & unused services

Failure to use a confirmed service is not treated as a cancellation made within the required deadline.

Strict non-refund rule

No Show = No Refund / No Credit / No Reschedule

A traveler who does not attend, misses the departure, arrives after the applicable waiting period, fails to join a confirmed service, voluntarily leaves a service early, or simply chooses not to use a booked component is not entitled to a refund, partial refund, credit, complimentary reschedule or compensation for that unused service, except where mandatory applicable law expressly requires otherwise.

Important: If you know you cannot travel, cancel the booking before the applicable cancellation deadline. Waiting until the service start time, failing to attend and then requesting a refund does not convert the booking into a timely cancellation.

7. Refund eligibility & strict 90-day processing timeline

A refund request is not the same as an approved refund. JainVoyagers first determines whether any refundable balance remains after cancellation charges, supplier penalties and non-refundable components.

90-day rule

Standard refund processing period

  • The standard JainVoyagers refund processing timeline is up to 90 calendar days.
  • The 90-day period runs from receipt of a complete written cancellation/refund request that clearly identifies the booking and provides any information reasonably required to process the refund.
  • Submitting duplicate requests, repeated follow-ups or separate emails does not restart, shorten or accelerate the 90-day period.
  • A refund request that is incomplete may remain pending until the required information is provided.
Eligibility

Only approved refundable amounts are processed

  • Cancellation penalties are deducted before any refund is calculated.
  • Supplier non-refundable amounts are deducted in full.
  • No-show, missed-departure and unused-service amounts are not refundable.
  • Bank fees, card-processing charges, currency-conversion differences and third-party transaction costs are non-refundable unless required otherwise by law.
Strict 90-day policy: JainVoyagers does not guarantee an earlier refund date. Clients should not initiate a duplicate claim or chargeback merely because the approved refund remains within the stated 90-calendar-day processing period.

8. Refund method, deductions & payment destination

Approved refunds are returned through the appropriate original payment channel wherever reasonably possible.

Refunds are normally returned to the original card, bank account, OTA or payment method used for the booking.

Non-refundable charges

Bank charges, gateway costs, foreign-exchange differences and supplier penalties may be deducted where permitted by the confirmed booking terms.

Third-party payer

Refund to payer, not traveler

If a travel agent, company, OTA or another payer funded the booking, the refund may be returned to that payer rather than directly to the traveler.

9. Amendments, date changes, names & rebooking

Changes are not guaranteed and may become cancellation plus rebooking where supplier restrictions prevent amendment.

Subject to written acceptance

  • Date, route, hotel, passenger, pickup, vehicle, ticket or service changes must be requested in writing.
  • No amendment is effective until JainVoyagers or the relevant OTA/supplier confirms it.
  • Fare differences, supplier fees, reissue fees and additional taxes are payable by the client.
  • A requested change does not suspend an existing payment or cancellation deadline.
Close to travel

Cancellation + rebooking may apply

Where the original supplier booking cannot be amended, JainVoyagers may treat the request as cancellation of the original service followed by a new booking at current availability and price.

Name corrections: Airline, rail, attraction and other ticketed services may prohibit name changes entirely.

10. Supplier terms & non-refundable components

Many travel components are supplied by independent third parties whose cancellation rules can be stricter than JainVoyagers’ standard policy.

Services commonly subject to stricter supplier rules

  • Airline tickets, promotional fares and low-cost-carrier bookings.
  • Prepaid or special-rate hotels, peak-season accommodations and non-refundable room rates.
  • Rail passes, train tickets, cruises and ferry reservations.
  • Attraction tickets, event tickets, timed-entry reservations and permits.
  • Private transport, chauffeur services, guides and specialist activity reservations.
  • Group allocations, series bookings, convention/event inventory and other contracted blocks.
Supplier precedence: Where the confirmed supplier condition is more restrictive for a specific component, that condition determines the refundable amount for that component, subject to mandatory applicable law.

11. Cancellation or material change by JainVoyagers

If JainVoyagers cancels a service for reasons not caused by the traveler, available remedies depend on the booking, supplier recovery and applicable law.

Alternative, reschedule or refund

  • JainVoyagers may offer a reasonable alternative service or revised itinerary.
  • A rescheduling option may be offered where inventory permits.
  • If an eligible refund is due, the approved amount follows the same up-to-90-calendar-day processing timeline unless mandatory law requires another timeline.
Excluded consequences

Independent arrangements

Unless required by applicable law or expressly included in the booking, JainVoyagers is not automatically liable for independent flights, hotels, meals, lost work time or other consequential costs purchased separately by the traveler.

12. Force majeure & events beyond reasonable control

Refundability for uncontrollable events depends on the recoverable amount from suppliers and any rights required by applicable law.

Examples of force-majeure events

Events may include severe weather, natural disasters, wildfire, flood, pandemic restrictions, strikes, civil disturbance, war, border closures, government restrictions, road closures, major transport disruption and other events beyond reasonable control.

  • JainVoyagers may change routes, timing, suppliers or service sequence where reasonably necessary.
  • Refunds are limited to amounts actually refundable under the applicable booking and supplier conditions, unless law requires otherwise.
  • Non-recoverable supplier charges remain non-refundable.

13. Refund disputes, duplicate claims & chargebacks

Clients should use the booking/OTA refund process before initiating a payment dispute where an approved refund remains within the published 90-day processing period.

Booking records may be submitted

Where a refund or chargeback is disputed, JainVoyagers may provide relevant records to the OTA, payment processor, card acquirer or dispute-resolution body.

  • Booking confirmation, invoice and cancellation terms.
  • OTA/system timestamps and cancellation status.
  • Correspondence, messages and refund-request history.
  • Supplier invoices, non-refundable confirmations and settlement records.
  • No-show or unused-service evidence where relevant.
Duplicate recovery

No double refund

  • A client cannot receive both a JainVoyagers/OTA refund and a successful chargeback for the same amount.
  • If duplicate recovery occurs, JainVoyagers may seek return of the duplicate amount and reasonable recovery costs where legally permitted.
  • An open chargeback may delay or prevent a parallel voluntary refund until the payment dispute is resolved.
90-day processing period: An approved refund that is still within the published 90-calendar-day processing timeline is not automatically overdue merely because the client would prefer an earlier payment date.

14. Communications, records & privacy

Booking and refund records may be retained where reasonably necessary to administer the reservation, respond to disputes and meet legal or accounting obligations.

  • Written cancellation requests and refund correspondence may be retained.
  • Payment references and supplier refund information may be retained for reconciliation and audit.
  • Relevant records may be shared with OTAs, suppliers, payment providers or dispute-resolution bodies where reasonably necessary.
  • Personal information will be handled under applicable privacy requirements and JainVoyagers’ published privacy policy.
